Operations Administrator (PTL Marine/EBS Maxum) - Wood River, IL

Position Summary:

Supports the Operations Team with general office support, data entry, reporting, invoice and inventory reconciliation, product re-supply, and other responsibilities as required by the business needs of the operation. Partners with Sales, Operations and Administrative Teams to continuously improve the business and its processes.

Essential Responsibilities:

  • Invoice and bill customers, either directly or through coordinated efforts with centralized finance functions.
  • Facilitate the scheduling of re-supply for Fuels, Lubricants and Other Products as needed with various vendor partners.
  • Exceed the expectations of our Customers and Team Members.
  • Support the inventory management function and month-end reconciliation processes.
  • Enact change and support a culture of continuous improvement.
  • Create purchase requisitions, input purchase orders and process invoices for payment as needed to support the procurement process and timely payment of vendor partners.
  • Maintain company equipment to ensure maximum utilization, efficiency and safety, and know its locations at all times.
  • File appropriate paperwork and fees with all governmental and regulatory agencies.

Other Functions:

  • Performs other general operations and administrative duties as directed.
  • Other general maintenance as directed.

Minimum Requirements:

  • 3-5 years full-time work experience.
  • Proficient in Microsoft Office Suite – notably, Outlook, Word and Excel.
  • Financial software experience (e.g. MAS, SAP, JD Edwards) strongly preferred.
  • Maritime industry experience strongly preferred.
  • Demonstrated ability to solve problems in intelligent, appropriate ways.
  • Demonstrated ability to effectively work with customers and partners to assess needs, provide assistance and resolve problems.
  • Ability to effectively present information and respond to questions from groups of managers, customers, vendors and industry stakeholders.


  • High school diploma or GED required
  • Bachelor’s degree preferred

Working Conditions:

  • May be required to lift, push or pull materials weighing up to twenty (20) pounds
  • May be required to sit and review information on a computer screen for long periods of time
  • May require repetitive motions of the hands and wrist related to writing and typing at an electronic keyboard
